Cancellation and Replacement Policy
Any cancellation or change of registration must be done by writing to the Congress Secretariat at reg.ent@cuhk.edu.hk and will be subject to the following conditions:

Cancellation of participation by the participant

• On or before 31 October 2026: 50% refund of fee.
• After 31 October 2026: NO refunds will be issued.
• All refunds will be processed after Congress concludes.

Name changes/ replacements
The name change will only be possible for confirmed and paid registrations. Substitution of name is admissible 1 time only per delegate.

• On or before 31 October 2026: replacements or name changes can be made free of charge.
• After 31 October 2026: replacements or name changes are subject to a 20% administrative fee.

Non-attendance/ no-show
Should a registered delegate not be able to attend the congress, for whatever reason, no further claims for reimbursement or waiving of fees can be made. No attendance certificate will be issued.

Double payment/overpayment
In case of double payment or overpayment, an administrative fee is applicable on the refund.

Force Majeure
In the event of serious, special or unforeseen circumstances beyond organiser’s control and other than Force Majeure, the organiser shall try to reschedule the event whenever possible. There is no refund if the participant cannot attend the re-scheduled program. If, for reason beyond the control of the organiser, the event is cancelled, registration fee will be refunded after the deduction of expenses already incurred. Registered participants shall not be entitled to seek compensation for any costs or damages incurred other than the registration fees paid to the organiser, which will be reimbursed to the registrant. We strongly advise all participants to obtain appropriate insurance to cover travel, accommodation and any other costs that may be incurred as a result of cancellation or postponement of the event.

All rights are reserved to the organiser of the 9th World Congress on Cochlear Implants in Emerging Nations.

Guidelines for Submissions of Abstract

• Abstracts are to be submitted in English.
• Scheduling details and guidelines for the final preparation of accepted oral presentations will be included with the notification of acceptance.
• The final selection will be at the discretion of the Scientific Committee.
• Presenting authors must register as participants. Incomplete registration by 21 September 2026 (round 1) / 9 November 2026 (round 2) will result in the abstract being withdrawn from the congress programme.

Abstract Preparation and Submission

• Abstract submissions must be made through the online submission portal. Abstracts sent via post, fax, or email WILL NOT BE ACCEPTED.
• Graphs, tables and illustrations CANNOT be included in the abstract.
• Authors presenting their work at Congress grant permission for their presentations to be recorded, stored, and shared by the organisers.
  
  

Abstract Acceptance

Submitted abstracts will be reviewed by the Scientific Committee. Authors will receive a notification of acceptance from the Congress Secretariat by email on or before:
Round 1 24 August 2026
Round 2 19 October 2026

Oral Presentations

• Oral presentations will be incorporated into the program of the Congress.
• Selected authors will receive a notification of the technical information and details of the oral presentation.
• The presentation shall be for 8 minutes and 2 minutes for Q&A.
  
  

E-Poster Preparation & Submission

• Abstracts selected for posters will be presented as e-Posters during the Congress.
• Selected authors will receive a notification of the technical information and details of the e-poster presentations.
• Selected posters will require the presenter to participate in a 3-minute poster discussion and 2 minutes Q&A.
